Privacy Policy & PDPA Notice

This notice is issued by Borneoinspire Training & Consultancy Sdn Bhd (Company Registration 202301021781 (1515704-P)) pursuant to the Personal Data Protection Act 2010 (“PDPA”) of Malaysia. It explains how we collect, use, disclose and protect your personal data when you use our website, participant portal and services.

1. Personal data we collect

• Identity & contact: name, IC/passport details, email, phone, emergency contact.
• Employment & sponsorship: company, job title, HRDC employer number, JD14 and supporting documents.
• Travel: passport scans, visa status, dietary and medical notes you choose to share, flight and hotel details.
• Financial: invoices, payment records and receipts (card details are processed by our payment providers and never stored by us).
• Programme activity: attendance, reflections, photos you upload, learning progress and referral activity.

2. Purposes of processing

• Registering and administering your participation in study missions and training programmes;
• Arranging travel, accommodation, insurance and company visits (including sharing necessary details with airlines, hotels and host companies);
• Processing payments, HRDC sponsorships and referral rewards;
• Safety, emergency contact and insurance purposes during travel;
• Issuing certificates and maintaining alumni records;
• Sending service communications and, with your consent, marketing about future programmes;
• Complying with legal, tax and regulatory obligations.

3. Disclosure

We disclose personal data only as needed to: HRD Corp (for sponsored participants), airlines, hotels, ground transport and insurance providers, host companies receiving the delegation, our payment providers (e.g. Stripe, Public Bank), our IT service providers, and authorities where required by law. We do not sell personal data.

4. Cross-border transfer

Because missions take place outside Malaysia (e.g. the People’s Republic of China), the details necessary for your travel — such as your name, passport information, hotel and flight bookings — are transferred to service providers and host organisations in the destination country. Our hosting and database providers may also store data outside Malaysia. We take reasonable steps to ensure equivalent protection.

5. Retention & security

We retain personal data only as long as needed for the purposes above and applicable legal requirements, after which it is deleted or anonymised. Data is protected with encryption in transit, access controls and role-based permissions; documents you upload are accessible only to you and authorised staff.

6. Your rights

Under the PDPA you may request access to and correction of your personal data, limit processing (including withdrawing marketing consent), and lodge inquiries or complaints. Much of your data can be viewed and corrected directly in your portal profile. For other requests, contact us at support@borneoinspire.com — we respond within 21 days. Note that certain data is mandatory: without it we cannot arrange your participation or travel.

7. Cookies & analytics

The platform uses strictly necessary cookies for sign-in sessions. We do not run third-party advertising trackers on the portal.

8. Consent

By creating an account and ticking the consent box at registration, you consent to the processing of your personal data (including sensitive data such as dietary or medical notes that you voluntarily provide) for the purposes described in this notice.
